The AVMA & VMAE RelationshipA typical July brings 10,000 people together each year for the gathering of the American Veterinary Medical Association (AVMA). The VMAE has an agreement with the AVMA to get back-office services it needs to operate. VMAE is comprised primarily of organizations with representation in the AVMA “House of Delegates”, which is the “congress of AVMA.” As Johnson explains, ‘It’s all very cordial and intersecting and collaborative.”

The Challenge

Historically, VMAE would hold their in-person event at the annual event hosted by the American Veterinary Medical Association. But since AVMA canceled its physical presence and pushed off its conference later in the year when it would take place virtually, the VMAE realized that it needed to be proactive and help its organizations figure out how to hold their own virtual events, and it needed to happen as soon as possible. The decision was made by the end of May, and the conference was scheduled for the end of June. The VMAE had precisely one month to pull together a full-fledged event.

The VMAE faced several hurdles pulling off the feat.

  • Compressed timetable. 
  • Complexities of managing the work involving the number of players involved. 
  • The learning curve of putting together a virtual event, fast.
  • Establishing value.

The Solution

Utilizing AVMA’s learning platform, CourseStage LMS, the VMAE was able to deliver a successful virtual conference thanks to the platform’s notable features such as sub-portals for multi-tenancy, expanded multi-media and gamification tools, modern user interface with fully branded portals, and the capability to offer content on-demand.

The ability to offer on-demand conference content was key for the VMAE. To ensure as high attendance as possible, VMAE pegged the event as providing for on-demand access in its positioning with members: “OK, if you want to see it again, you get on demand. If you can’t make a session, you get on demand. If you can’t make any of it, register and get on demand through the end of the year.”

Johnson was convinced that the event would deliver value with its “timely, rich content, accessible on demand with high levels of engagement for members.” For that reason, the VMAE set the price equal to its in-person event.

Retain sponsorships.

Participating partners received a partner portal, created with the help of Web Courseworks. The portal included a descriptive page with a photo of their key representative and contact information, a corporate video explaining their role in animal health, as well as three other digital assets, such as PDFs.

Plan for technical difficulties with your association's virtual conference.

Streamline production and execution.

While Johnson’s colleague ran the Zoom rooms where attendees participated in sessions, the Web Courseworks team was on the line in case technical glitches came up. “I was just kind of hanging out,” says Johnson.

The Web Courseworks team was able to emulate an in-person conference experience.

Replicate the “exhibit hall” experience.

To encourage interest among attendees, people would quality for a ticket each time they visited a partner portal. Then the VMAE pushed the partners to donate prizes to make up what was dubbed as a Super Prize. “That kept driving people to make a visit and spend a moment looking at partner information.”
